Adventure Holidays is a registered Charitable Incorporated Organisation (no.1173301). Our constitution states that our object is to enable children and young people in North East England, who we define as being aged 19 years or younger, to have a holiday and who would not otherwise have the opportunity to get away for one, through lack of resources or because of personal or family circumstances.
All guests must include, and be primarily for the benefit of, children and young people who meet this definition. Prospective guests can only register as visitors if they meet and comply with this requirement. The Trustees are obliged to ensure that this happens, to comply with our constitution and to satisfy the Charity Commission.
Prospective guests have to go through an application process, so that the Trustees can be satisfied that they meet this requirement. The process is different for schools and community groups on the one hand, and private families on the other.
In addition, Trustees may make visits during or after a visit, to ensure that this fundamental requirement is being met and that optimum standards are maintained for all our guests.
Schools and Community Groups wishing to register as Guests
Any school or legitimate community group can apply to register as Guests. Schools can be of any kind. Groups can include youth projects, churches, community groups, etc.. The requirement that is common to both types of guests is that guests using Daleby House include and are primarily for the benefit of children and young people in the North East who would not otherwise get a holiday.
There is a brief online questionnaire to complete and submit. (This can be provided off-line or on paper on request.)
Applicants need to provide contact details. A senior Trustee will get in touch to discuss the application, and, when satisfactory, approve it. The guest is then formally Registered, and will be able to seek dates to visit through access to the Guest area of the website.
Families wishing to register as Guests
Individual families can apply to register as Guests. They can be of any background, so long as they are resident in North East England. The basic requirement that is common all types of guests is that family guests must include and be primarily for the benefit of children and young people who would not otherwise get a holiday.
There is an online questionnaire to complete and submit. (This can be provided off-line or on paper on request.)
In addition, families must submit a supporting letter from an independent professional who knows the family, and who can support the application. The professional could be a doctor, teacher, community group leader, minister of religion, for example. The supporting letter can be uploaded to the website, or submitted by email or by post.
A senior Trustee may get in touch to discuss the application, and make sure we understand it properly. When satisfactory, the Trustee will be able to approve the application. The guest is then formally Registered, and will be able to seek dates to visit through access to the Guest area of the website.
Applying to visit Daleby House and Access to the Website
Registered Guests are able to access the Guest area of the website, with their own username and password.
The username is the email address by which guests may be contacted, and the password is of your own choosing.
Registered Guests are asked to provide their relevant contact details, including a telephone number for use during visits, in case we need to get in touch.
Registered Guests are able to enter preferred dates for visits, in priority order where appropriate. Adventure Holidays cannot guarantee to offer Guests their preferred dates, but we will try to ensure that everyone who wishes to visit during the season is able to do so. Please let us know the preferred length of your visits and, if we are am unable to accommodate all the dates requested, we will aim to offer a shorter visit rather than none at all.
Adventure Holidays will then offer guests dates for a visit (or visits). If they are acceptable to the guest, the guest is asked to confirm online acceptance of and compliance with our terms and conditions. On receipt of this, Adventure Holidays will confirm the dates, which are then formally set aside for that particular guest. Up until this moment, dates are only provisionally held for a guest. However, a guest with offered dates that have not been confirmed will be advised if another guest is interested in the same dates.
Registered Guests will be able to view a calendar of the guest season. This will show the dates of all requested, offered and confirmed dates, but not the names or other details of any particular guest. This may help guests to identify “quiet times” when they have a better chance of their full preference being available.
